I’ve walked thousands of offices over the years, and I can tell you this: no two are exactly alike. That’s why a site visit is one of the most important steps in any office furniture project. It’s where we go from talking about needs to seeing the real opportunities and challenges right in front of us.

What happens when we arrive

You can expect us to show up on time, prepared, and ready to work. We’ll bring a tape measure, a notepad, a laser measurer for accuracy, and our high-tech survey tools including 3D laser scanners and digital floor mapping software that captures every detail instantly.

The visit usually takes 30 minutes to an hour, depending on the size of the space. For bigger commercial projects, it might run longer if there are multiple areas to cover. We’ll walk the entire space together, talking through your goals as we go.

Our focus is simple: understand how the office functions now and how you want it to function moving forward. Each project gets its own dedicated project manager who stays with the job from start to finish.

Step by step: what we do

Here’s what a typical site visit looks like from our side:

First, we start with the big picture. We walk the perimeter, measure overall dimensions, and note doors, windows, electrical outlets, HVAC vents, and any fixed elements like columns or built-ins that can’t move.

Next, we look at traffic flow. Where do people naturally walk? Are there bottlenecks? How does the current layout support or get in the way of daily work? This is all part of proposing the most efficient use of your space and furniture in the plan.

Then we dive into specifics. We measure potential workstation areas, private office locations, conference rooms, reception zones, and storage needs. We check ceiling heights, floor types, and lighting to make sure furniture will fit and function properly. Our digital tools generate instant 3D models you can review right there on site.

Throughout, we’re asking questions and taking notes:

How many workstations or seats do you need?

Where do you see collaboration spaces or private areas?

Any changes planned for headcount or hybrid work?

What’s working well now, and what isn’t?

What we’re really looking for

Beyond the measurements, we’re evaluating the practical stuff that makes or breaks a project:

Power and data: Where are outlets and network drops? Do we need to plan for additional power or cable management?

Lighting and views: Does natural light reach key areas? Will furniture block important sightlines?

Flexibility: Can the layout support growth? Are there spots for modular workstations or reconfigurable systems furniture?

Budget fit: Can we maximize space optimization without overspending on custom solutions?

Aesthetics: Does the space need to match existing branding, or is this a fresh start?

We also flag anything unusual, uneven floors, low ceilings, tight doorways, that might affect furniture delivery or installation.

Your role during the visit

The best site visits happen when we’re working together. Here’s what helps most:

Walk us through a typical day in the office.

What happens next

Right after the visit, we’ll review our notes and digital scans. Usually within a day or two, we’ll send over:

A summary of key measurements and observations.

Initial layout concepts or furniture recommendations generated from our 2D and 3D models.

Next steps, including delivery, installation, and budget options.

Your project manager will guide you through every refinement until it feels right.
